National Sporting Library and Museum, Loudoun County, VA


General Overview:

The National Sporting Library & Museum seeks a Facilities Manager. The incumbent is responsible for the oversight and maintenance of the structures and systems of four buildings and the gardens and grounds on the seven-acre campus. Key traits for success in this position include being able to take initiative and solve problems; having outstanding project management skills; and enjoying working as part of a team where everyone juggles multiple responsibilities and works hard to support their colleagues. The position serves as first responder for all issues that pertain to the physical well-being of the NSLM campus and is on call for such issues 24/7/365.  Reports to the Executive Director.

Essential Functions:

  • Supervise and conduct regular and routine maintenance of the NSLM campus
  • Secure licensed contractors and oversee maintenance on physical structures and systems
  • Maintain detailed files on projects involving construction, replacement, systems, and fixtures
  • Maintain a prioritized list of maintenance needs and adhere to a maintenance schedule
  • Adheres to recognized building codes as well as museum and library collections standards
  • Plan, prepare, and administer department annual budget
  • Serve the staff liaison and generate monthly report for Buildings and Grounds Committee
  • Schedule and supervise Facilities Assistants to include training and overseeing daily activities
  • Manage a sitewide Facility Assessment for the short-term and long-term care and management of the NSLM


  • Monitor, maintain, and adjust environmental controls to adhere to required Library and Museum specifications, including anticipation of weather changes.
  • Use I-Vue software for HVAC system monitoring, trending, diagnosing and reports for curatorial

Security and Fire

  • Serve as primary contact for security and fire alarm emergency calls and as on-site contact for first responders
  • Monitor security surveillance cameras using Mobotix computer software and Library camera system
  • Act as primary point of contact for service calls including elevator and fire extinguisher service
  • Be the custodian of NSLM lock, key, and security code system

Cleaning, Snow Removal, Pest Management Services

  • Arrange for and supervise routine cleaning of all public spaces, collections areas as determined by Curatorial and Library departments, staff areas, cottage, and special events
  • Arranges for and supervises semi-annual cleaning of the exteriors of the structures
  • Oversee snow removal and annual contract
  • Maintain the integrated pest management system internally, externally to include trees and bushes



Events, Exhibitions, and Programs

  • Coordinates with colleagues to provide appropriate set ups for lectures, events, classes, exhibitions, openings, meetings, and other events in the buildings or on the grounds.
  • Coordinate with curatorial department for installation/deinstallation scheduling with Facilities as needed

Supplies and Equipment

  • Obtain all necessary cleaning and maintenance equipment and supplies
  • Inventory, purchase, and stock all supplies for restrooms and offices
  • Manage IT and AV vendors

Disaster Preparedness

  • In conjunction with the Curatorial and Library departments, maintain emergency and disaster response and preparedness plans
  • File incident reports

Project Management

  • Work with the Buildings and Grounds Committee to identify and report needed major projects
  • Gather bids and vet qualified contractors
  • Provide oversight of all workers




Required Skills:

  • Substantial experience of 5-7 years overseeing a similar type of facility with complex HVAC, electrical, and plumbing systems
  • Possesses a comprehensive understanding of all systems on the site to include HVAC, security, fire, electrical, plumbing, groundskeeping, housekeeping/janitorial, and exterior and interior maintenance of the structures
  • Possesses electrical, plumbing, and carpentry skills to be able to perform basic maintenance and repairs or oversee such
  • Project management experience
  • Supervisory experience
  • Excellent communication skills both written and verbal. This position needs to be able to communicate successfully with Board Members, staff, contractors, and members of the public
  • Budgeting experience.
  • Computer skills to include calendaring, word processing, and spreadsheet software
  • Ability to climb ladders, and to push, pull, and lift heavy objects
  • Must be a detail-orientated team player that is willing to pitch in as needed and who can be relied upon to complete tasks in a timely manner

Salary: $40,000 – 50,000
