PRIVATE EVENTS COORDINATOR, PART-TIME
THE OPPORTUNITY
The part-time Private Events Coordinator position offers the opportunity to coordinate private rentals of the museum (including weddings, photography sessions, corporate events, and parties) in support of the Poe Museum’s mission: illuminating Poe for everyone, evermore. The coordinator plays an essential role in the planning and logistics of rentals and will provide on-site support at private events at the museum. This position is ideal for an individual who will enjoy making a variety of occasions into special memories for visitors and clients.
PAY $17.50/hr
POSITION SUMMARY
What We’re Looking For:
Our successful candidate will be detail-oriented, organized, and self-motivated. A background in events and hospitality preferred.
Specific Responsibilities:
Private Rentals Responsibilities:
- Manage private rentals of the Poe Museum for weddings, corporate events, etc.
- Respond to inquiries from prospective clients
- Negotiate and manage rental event contracts
- Oversee confirmation, timely payments, etc.
- Coordinate site visits for prospective clients as needed during business hours, evenings, and weekends
- Coordinate contracted rental event logistics; schedule vendor access to site and manage relevant paperwork
- Work as on-site staff for all rental and organize additional staffing as necessary
Other Responsibilities may include:
Front Desk and Event Coverage:
- Be the face of the Poe Museum for all visiting guests. Be able to answer Edgar Allan Poe related questions and be excited and willing to involve yourself in conversations that continue illuminating Poe for the guests.
- Keep a balanced cash register and record daily transactions.
- Perform opening and closing duties for the gift shop (restocking inventory, counting the cash register, feeding and cleaning up after our resident cats).
- Help staff Poe Museum events including UnHappy Hours, community events, lectures, etc.
Experience and Educational Requirements: Our successful candidate will meet the following requirements:
- High school diploma or GED
- Experience managing private events or programs
- Experience in the hospitality or wedding industry preferred
- Excellent verbal and written communication skills
- Availability to work shifts, including evenings, weekends, and holidays
Knowledge, Skills & Abilities
- Proficiency in Microsoft Office programs
- Strong attention to detail and ability to multi-task
- Excellent customer service skills
- Demonstrated ability to work as part of a team
WORK SCHEDULE
This role will require 16-28 hours per week, with seasonal fluctuations. This is a hybrid role, with the opportunity for remote work excluding the on-site event administration and client walkthroughs.
