SCHEDULING COORDINATOR for EDUCATION & VISITOR PROGRAMS
Job Purpose
The Scheduling Coordinator is essential to the guest experience at Monticello as it ensures all public programs within the Education and Visitor Programs (EVP) Department are staffed adequately and efficiently. This position provides office support for the EVP Department with a focus on creating and maintaining staff schedules for 100+ staff members and 20+ interpretive programs.
Essential Functions
- Responsible for making and maintaining the staffing schedule for all Education and Visitor Programs Staff and Volunteers at a variety of program locations using an online scheduling platform.
- Solicits and assembles scheduling notes from multiple sources and stakeholders for all Education and Visitor Program staffing needs.
- Analyzes data to determine hours needed each day for tours and programs.
- Uses creative thinking to find solutions to complex problems related to scheduling.
- Communicates all schedule needs and changes effectively with all stakeholders.
- Collaborates with administrators and staff members in other departments to accomplish tasks.
- Provides information about Monticello events and activities to Monticello guides.
- Researches solutions to ongoing scheduling challenges and proposes responses.
- Provides calendar, meeting, and training support as needed.
- Provides basic office support, including making copies, scanning documents, processing mail, ordering supplies, and other tasks as necessary.
- Schedule: 8am-4:30pm Tuesday-Saturday, some holiday and evenings are required.
- Complete other duties as assigned.
Knowledge, Skills and Abilities
- High level of computer literacy. Extremely proficient at using standard Microsoft Office software such as Outlook, Word, and Excel
- High level of attention to detail.
- Ability to multitask and prioritize duties.
- Ability to think creatively to solve problems.
- Enthusiasm and skill with logic puzzles like sudoku.
- Excellent oral and written communication skills.
- Excellent interpersonal skills.
- Ability to handle unexpected and rapidly changing situations in a calm manner.
- Friendly attitude toward visitors and staff; strong team player
- Ability to Model Thomas Jefferson Foundation’s customer service standards and expectations.
Physical Demands and Work Considerations
In addition to a Tuesday-Saturday schedule, some holiday and evening work is required. Monticello is located on a mountaintop; walking on inclines and uneven ground may be required. Works at a computer for much of the day.
Education
High school education required. Associates or Bachelor’s degree preferred. 3-5 years of experience providing administrative support. Scheduling experience preferred.
