EVENTS & VOLUNTEER COORDINATOR
The Museum of the Shenandoah Valley is growing! We are seeking an Events & Volunteer
Coordinator who will assist with planning and executing community programs and special
events such as concerts, 5K races, wine festival, antique car show, and more. Additionally, the
Events & Volunteer Coordinator will create and implement a volunteer program to engage our
members, as well as local community and corporate partners.
The ideal candidate will have the following qualifications:
• BS/BA in hospitality, event management, marketing, communications, museum studies,
arts or theater management, public history or related field of study or equivalent related
experience.
• Flexibility, collaborative attitude, and sense of humor to adapt to
schedule/organizational changes if unforeseeable circumstances arise.
• Ability to work a flexible schedule to include evenings and weekends of special events.
• Ability to juggle multiple projects and meet deadlines.
• Strong cultural competence, interpersonal and communication skills.
• Proficient in Microsoft applications including Word, Excel, PowerPoint, and SharePoint.
• Ability to learn our cloud-based customer relationship management database. Prior
experience with PatronManager or other CRM a plus.
• Experience working with vendors and volunteers desired. Experience with supervision
and contractual compliance preferred.
• Ability to lift 50 lbs. required.
• Reliable transportation and valid driver’s license required.
Duties & Responsibilities include the following:
• Event Coordination
o Assist the Senior Manager of Community Events with the planning and execution
of a range of events and programs such as festivals, community days, 5k races,
member exhibition previews, concerts, and private event rentals
o Follow up with event vendors and local government officials to ensure that all
proper permits and insurance certificates are in place prior to events
o Provide customer service support to event participants by responding to
telephone and email communications about events and programs, including
maintaining RSVP lists for special events and door lists for community programs
o Work with the Associate Director of Annual Giving to execute the events portions
of the annual Art of Business Corporate Partnership plan, including:
▪ the execution of corporate event rentals
▪ the coordination of the annual Business Forum Luncheon
o Coordinate needs for MSV internal meetings such as ordering meals when
needed and ensuring set up details are recorded and implemented for board
meetings, committee meetings, and staff meetings.
• Volunteer program coordination
o Build a volunteer program for the organization to engage our corporate and
community partners in our work and to provide opportunities for them to
experience deeper connections to our mission through volunteerism
o Work with staff and partners to identify volunteer projects and roles that advance
the organization and engage corporate and community volunteers
o Serve as primary volunteer liaison and coordinator from recruitment and
relationship-building through to training, logistical coordination, project
oversight, and recognition
o Maintain volunteer lists and accurate records of volunteer hours worked.
o Work with external volunteer organizations to build the Museum’s capacity to
creatively engage volunteers
o Organize volunteer workdays for corporate partners, community groups, and the
MSV’s Trailblazer Members.
o Schedule volunteers for large-scale events such as Gardens at Night, and the fall
garden light show
o Serve as the organizational lead for our volunteer program, staying up to date on
volunteerism trends and training staff on our new volunteer program and how to
work successfully with our volunteers
• Other Community Engagement Team Responsibilities
o Use our PatronManager database to track engagement with corporate and
community partners, volunteers, and event attendees
o Assist with other Advancement Division or MSV work as required, such as large
membership mailings
The MSV offers an excellent benefits package including health, dental, vision and life
insurance, short and long-term disability, generous vacation allowance, paid holidays, and
retirement plan. Starting salary range is $35,000 - $40,000 annually and is commensurate
