The Office Manager is responsible for the everyday needs of the office and visitors to the office, including answering the telephone and passing messages, processing mail, and assisting visitors where possible in a timely manner.

Office Support for Events
The OEM is responsible for administrative support for Museum committees where it is necessary to have central office management.

The Office Manager is responsible for compliance with Virginia ABC regulations and reporting requirements for those activities that fall under the GRA Club permit.

The OM will prepare monthly reports on visitor attendance and volunteer hours; with a comparison between this year and the last, for reporting and planning purposes

The OM is responsible for bookkeeping activities, to include recording of income, payment of recurring and non-recurring invoices, payroll, and the filing of monthly taxes. The OM will work with the CPA on financial matters on a quarterly basis, at the end of the fiscal year, and as needed to insure the fiscal health of the Museum.

The OM is responsible for supporting the Director, the Treasurer, and the Financial Management Committee in the preparation of the annual budget by preparing a report of fiscal year actuals. The OM will prepare monthly reports for the Director, the Board Treasurer, and the Chair of the Financial Management Committee.

The OM assists the Director with the preparation of State and Federal required documents for continued operation of GRA/RFM, including our non-profit status, our DUNs number and our SAM (federal grants) application.

The OM is responsible for the preparation of administrative materials for BOD manuals; coordinating these materials with the ED and Treasurer within 3-5 days prior to the meeting, or as reports are available from our banking institutions.

The Office Manager is responsible for filing office materials, to include financial reports, events histories, committee policies and procedures, etc., into the committee binders.

The OM is responsible for Festival Halle (FH) reservations; including showing, preparing and monitoring contracts, and working with FH Committee chair and the after-hours contractor to insure FH is ready for rented activities.

Minimum requirements

Advanced degree or equivalent experience

Office management experience is required

Good interpersonal skills required

Experience with Microsoft Office software to include MS WORD, MS EXCEL and MS Publisher is required

Experience with Intuit Quickbooks is required

Experience with social media and web sites desirable

Additional information

The Office Manager shall operate under the supervision and direction of the Museum Director who will evaluate the performance of the Office Manager annually.
