Position Title – Administrative Assistant

Salary - $17.00/hour

This position is for a part-time administrative assistant position, working as an independent contractor for the Friends of the Army Women’s Museum Association located at Fort Lee, VA.

Duties:
a. Maintains an office presence at the Fort Lee location for FAWMA based on the agreed
upon schedule between incumbent and supervisor.
b. Schedules and organizes complex activities such as meetings, events, conferences and
organizational activities for members of FAWMA.
c. Uses a variety of software programs to include MS Office. Performs desktop publishing.
Creates and develops visual presentations for the Board of Directors.
d. Establishes, develops, maintains, and updates filing system for the Board of Directors
with minimum paper and a move to the cloud.
e. Types and designs general correspondences, memos, charts, tables, graphs, business
plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
f. Sorts and distributes mail. Opens mail for FAWMA. Drafts written responses or replies
by phone or email when necessary. Responds to regularly occurring requests for information.
g. Answers phones for FAWMA. Takes messages or fields/answers to all routine and
non-routine questions. Speaks with a variety of people as part of normal office business or makes phone calls as part of fundraising. Diplomacy and tact are necessary to perform successfully.
h. Manages donor program information including researching and identifying new donor
opportunities (individual, associations, corporations, foundations). Manages incoming donations, and develops and sends thank-you correspondence to donors. Establishes, develops, maintains, and updates information and reports for the Board. Assists with donor fund drives and events. Accomplishes mass mailings, follows up on address corrections, calls donors to touch base and develop relationships.
i. Assists with management of the Donor Brick Program, Gift Kiosk, and FAWMA Donation Drink
Cooler.
j. Acts as a liaison with the AWM, FAWMA Board of Directors, volunteers, AWM
Curator, AWM staff, donors, constituents and others as necessary. Handles confidential and non-routine information and explains policies when necessary.
k. Works independently and within a team on special nonrecurring and ongoing projects. Acts as
project liaison for special projects, at the request of the Board of Directors or Co-Presidents, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures, planning and managing social events for museum functions (e.g., ribbon cutting) 

l. Supports maintenance of FAWMA finances in coordination with the FAWMA Treasurer.
Activities include: retrieving donations from donor box at museum and post office box documenting any donation received in coordination with the Board of Directors, treasurer and FAWMA volunteers.
m. This position has no supervisory responsibilities.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


Position Type and Expected Hours of Work: This is a part-time position. A work schedule is generally 3 days a week for 4 hours per day, not to exceed 12 hours a week unless approved by the supervisor. Work hours are flexible.


Travel: Minimum travel is expected for this position. Access to a personal vehicle is required to buy supplies, pick up mail and other duties. Reimbursement for mileage will be on a per mile basis at the current IRS rate. No reimbursement will be provided for travel to and from the incumbent’s home nor travel to and from the FAWMA office and the museum.


Required Education and Other Qualifications
Minimum Education and Experience: Associate’s degree. Two years of related experience.
Work Authorization/Security Clearance: Incumbent will be working on a military installation and must be able to gain access and pass any security or entry requirements.
