Position Title – Accounting Clerk

Salary - $15.00/hour

This position supports the Finance Department by computing, classifying, recording and verifying numerical data for use in maintaining accounting records for the Museum. This is a part-time position at 20 hours a week. The hourly rate is $15.00.


Cash Receipts:

  • Process daily bank deposits
  • Accurately input all transactions into accounting software system

Accounts Payable:

  • Review all invoices and check requests for appropriate documentation and approval prior to posting
  • Accurately input all invoices and check requests into accounting software system
  • Record all related transactions for Museum employee purchase cards
  • Accurately apply all electronic payments to vendor invoices
  • Print accounts payable checks on a weekly basis and generate applicable accounts payable reports
  • Review vendor statements and revolving credit accounts monthly for accuracy - research and resolve discrepancies
  • Maintain updated vendor status and demographic information in accounting software


  • Update and maintain system for tracking Museum contracts
  • Update and maintain system for tracking Museum subscriptions
  • Update and maintain cash flow spreadsheet
  • Update and maintain project reconciliation spreadsheets
  • Sort and distribute incoming mail
  • Update and maintain the departmental filing system in accordance with the museum’s current Record Retention Policy
  • Monitor the accounts payable email address and process items accordingly
  • Respond to staff inquiries
  • Other duties as assigned

. Requirements:

Knowledge, Skills, Abilities:

  • Ability to rapidly learn and perform tasks related to the museum’s regulations, policies, rules, functions, procedures, or processes
  • Ability to be an effective team member and display initiative
  • Ability to work unsupervised at times
  • Proficiency in MS Office, particularly MS Excel, MS Word and Google Suite, required. Experience with Microsoft Dynamics or similar accounting software and Raiser’s Edge/Altru or similar fundraising software desired
  • Candidate must also possess excellent organizational, verbal and written communication skills, be detail oriented, accurate and able to work under pressure to meet deadlines

Education and Experience:

  • Two years’ experience in maintaining a General Ledger system required
  • One-year experience in processing both Accounts Payable and Cash Receipts required
